Assign the decision owner
A business tool needs someone who can define its inputs, approve changes and resolve exceptions. Installing software does not establish those responsibilities. Name an operational owner before launch and distinguish that role from the administrator who manages access.
Test a complete handoff
Follow one real record from entry to completion. Check who enters it, who acts next and how completion becomes visible. A sales enquiry can be captured correctly while still failing because nobody owns follow-up. A named owner and an overdue queue may solve more than another integration.
Keep the ownership rule usable
Document the normal path, escalation route and backup owner. Set a review interval that matches the volume and risk of the process. Compare missing records, delayed handoffs and rework before and after the change. If the owner lacks authority to fix the problem, escalate that constraint rather than adding more fields.
